View key insights about Children, Teachers, Family engagement, and overall usage on your Educa site.

The following options are available under Reports in Educa:

  • Child Story Report

Most reports have a Custom Export so you can download data to Excel.

Each section below explains what you’ll see under each report.

how to access reports

Child Story Report

Shows how many Learning Stories each child has:

  • For each four-month period.

  • In total since their Educa profile was created.

Two numbers show for each period:

  • Left/Black – stories linked to Framework outcomes.

  • Right/Grey – total stories for that period.

Click the Graph icon for each child to see a breakdown of all the Frameworks used in their stories.

Use Custom Export to download to Excel, set a date range, and compare group vs individual stories.

Teacher Reports

⚠️By default, the following three teacher reports are only visible to Site Admins. A Site Admin can change this to make them visible to all teachers via your site’s privacy settings.

Teacher Story Report

Shows how many stories each educator has published in a four-month period.

Site Administrators can make this report private in Site Settings (visible to admins only).

Two numbers show for each period:

  • Left/Black – published stories linked to Framework outcomes.

  • Right/Grey – total published stories for that period.

Click a teacher’s name to view all stories created by that teacher.

Use Custom Export to download to Excel, set a date range, and compare group vs individual stories.

Teacher Portfolio Report

Shows how many portfolio posts each teacher has added over a four-month period.

Two numbers show for each period:

  • Left/Black – published portfolio posts linked to professional Framework outcomes.

  • Right/Grey – total published portfolio posts for that period.

Use Custom Export to download to Excel, set a date range, and include posts created for another educator’s portfolio.

Teacher Weekly Report

Shows Learning Stories posted over a chosen time period.

  • Select a date range (defaults to the last week).

  • Click Refresh.

You’ll see each teacher with a list of their stories for that period so administrators can easily review recent work.

Parent Engagement Graph

Compares, by week over a selected period:

  • Learning Stories

  • Parent comments

  • Select a date range and click Refresh.

  • Hover over a point on the graph to see the week and totals.

Use this report to spot trends in parent engagement based on their comments.

Story Search

Lets you search all published stories on your site.

You can filter by:

  • Start Date / End Date

  • Keywords

  • Story Creator

  • Story Type

  • Class / Child(ren)

  • Curriculum Type

  • Curriculum Goals

Set your filters, then click Search. Matching stories appear on the right.

Stories to Print

Shows stories that are not yet marked as printed. You can also view stories already marked as Printed or Ignored to manage your printing list.

  • You’ll see all stories and can tick Printed or Ignored.

  • Once ticked, that story is removed from your main list.

  • Filter by Class so class teachers can manage their own lists.

  • Use Stories Printed or Ignored (top right) to see stories already marked as complete.

Usage Overview

Has two main views:

  1. Family vs Child profiles

    • Compares the number of family accounts with child profiles over time.

    • The child profile count shows active profiles over time, while the family account count includes families linked to both active and archived child profiles.

  2. Stories and Comments

    • Compares total stories, parent comments, and the comment/story ratio over time.

    • Shows how actively parents are responding to stories.

Framework Usage Report

Shows how frameworks are being used across your site, based on story links.

  • Select a date range (e.g. last month) and click Refresh.

  • View a colour-coded pie chart and bar chart.

  • Hover over a segment for more details.

If your centre uses multiple curricula, you’ll see a separate chart for each.

Use Custom Export to:

  • Set a date range

  • Choose a curriculum

  • Filter by specific children or classes for more targeted insights

Stories and Comments

Shows the most recent stories and comments on your Educa site within a selected time frame, and compares them with totals since you joined Educa.

  • By default, shows total stories from the last 30 days for all children.

  • You can change the date range and select a Class.

Click View Comments to see all parent and teacher comments for that period in full. This is a useful quick view for administrators to review parent feedback.
