Plan Visibility

Who has access to your Draft and Published plans and comments in Educa.

Educa’s Planning feature is designed to support different workflows, giving you control over who can view and interact with your plans. Visibility is determined by whether a plan is in draft or published and by the template it’s based on. Comments follow the same access rules as the plan itself.


Visibility Rules in Planning

Draft Plans

  • Visible only to the plan creator and any linked teachers.

  • Not shown on a child’s profile and not visible to families.

  • Teachers can find their Draft Plans under Tools > Planning > Drafts.

Published Plans

  • Visible to all linked teachers.

  • Templates can be customised to:

    • Restrict family access entirely, or

    • Hide certain fields from families.

  • Plans are only visible to families with the following relationships to the child:

    • Mother

    • Father

    • Parent

    • Parents

    • Primary Caregiver

Plan Comments

  • Visible to everyone who can access the plan.

  • Anyone with access to the Plan can leave a comment.

  • Comments are not available while a plan is still in draft mode.

Note: Teachers with site admin access can always view and edit all plans, regardless of visibility settings.

How Planning Templates Control Access

Plan visibility settings can be changed later, but only at the template level. Any adjustments made to a template will affect all plans that are based on it. If you need different visibility rules, create or copy a template and edit it before generating new plans. Templates can also be customised to make an entire plan visible only to teachers, or to hide specific fields from families on a field-by-field basis.

Teacher Access and Private Fields

For plans not intended to be shared with families, Site Admins can adjust visibility in the planning template. You can make the entire plan visible only to teachers, or set privacy on a field-by-field basis (for example, adding a Private Teacher Discussion field). When creating a plan, the visibility for each section is clearly noted so you know which fields are private and which are shared.
