How to Archive Child Profiles

Learn how to archive or restore child profiles to manage capacity and family access

Archiving a child’s profile moves it into an inactive state. This is useful when a child leaves your centre, as it frees up space for new profiles and removes family access to your site.

Nothing is deleted immediately. Parents can still log in for up to 3 months to download a copy of their child’s profile before access ends.

Important before you archive

Make sure each profile includes at least:

  • First name and last name

  • Date of birth

  • Gender

  • At least one family contact

šŸ‘‰ Note: If the child is transferring to another centre that also uses Educa, contact us to request a profile transfer instead.

Archive a Single Child Profile

  1. Go to All Children.

  2. Click the child's name to open their profile.

  3. Click Archive profile (bottom-left).

  4. Confirm by clicking Yes.

Archive a whole class

Use this option if you want to archive an entire class at once (e.g. at the end of term).

  1. Go to All Children > Classes & Groups.

  2. Click the name of the class you want to archive.

  3. Click Archive All at the bottom of the class list.

  4. Click Confirm.

  5. The process runs in the background, so profiles may still show as active until archiving is complete.

Reinstating Archived Child Profiles

If a child returns or you archived by mistake, Site Admins can restore the profile:

  1. In All Children, click Archived Profiles (top right).

  2. Find the child's name in the list. (The profiles are listed in alphabetical order, sorted by first name.)

  3. Open the profile and click Recover profile.

  4. In the confirmation dialog, click Confirm.

āš ļø Important: Restored profiles count toward your active capacity again. The profile will appear in your Children overview but will not be placed back into a class automatically. You’ll need to assign the child to a class if required.
