When a child leaves your service, you need to archive their profile to make room for new ones. Archiving a profile won't delete anything right away, it temporarily saves their profiles to a secure folder of archived profiles.
If the child is instead leaving to attend another service that also uses Educa, you can request their profile to be transferred.
Site Administrators can archive a profile through the child's profile page. This will move their profile to the Archived Profiles page.
Before you can archive a profile, we require the following information to be entered if not already:
First Name
Last Name
Date of Birth
1x Family Contact (Name, relationship to child and Email)
Once archived, parents will still have access to their child's profile, but only to download a copy of their child's stories. All other pages will be hidden. After 3 months, they'll no longer be able to access the profile at all.
At the end of the year, you can archive multiple child profiles through the class management tool.
