A child’s portfolio can be downloaded at any time while their profile is active — and for up to 3 months after it has been archived. This includes learning stories, photos, and videos.
The download will be delivered as a .zip file via email. You’ll receive a link to download the file to your device.
This option is only available on active Educa sites.
Note: For families, this option is only available to relations marked as Mother, Father or Parent. Teachers can also download profiles at any time.
How to Download a Profile
Open the child’s profile
From the child’s profile page, click on Profile (or their profile picture).
Start the download
Click Download Profile in the left sidebar.
A confirmation message will appear — click Okay to continue.
Check your email
Look for an email from Educa with the subject: Your Child Profile Download is Ready.
Click the link in the email to start the download. Depending on your browser, you may need to choose a save location.
The link is active for 2 hours only.
This will download a .zip file containing the child’s profile. You’ll need to extract (unzip) the file before viewing it.
About the Download
The download includes all of the child’s learning stories along with the photos and videos used in them. These stories are gathered together into one HTML file so they can be viewed easily in a browser.
The folder also contains all individual photos, videos, and PDF files. To make sure the photos display correctly within the stories, the .zip folder must first be extracted before opening the HTML file. Plans and forms are not included in the bulk download and would need to be saved before the profile is archived.

Before a child’s records are permanently deleted, Educa will contact families connected to the profile to offer the option to purchase a complete Portfolio Archive.
What's included:
All learning stories as formatted PDFs (exactly as they appeared in Educa)
Every associated image and video from those stories
An email invitation goes to all family members linked to the child. This archive preserves formatting and organisation for keepsakes - ideal if you’d like more than the basic bulk download.
How to extract the Zip File
1: Locate the file (named "[child's name]") on your computer. If you did not choose where to save it, this will be in your Downloads folder.
2: Once you've found the folder, Right click on the folder and select "Extract all"
3: Choose where to extract the files, or leave it as default to save it in Downloads
4: Click "Extract" to unzip the folder
5: You can now view the stories (and other files) by opening the, now extracted, folder "[child's name]"
The folder will contain the following files:
Files - this contains all of the child's photos, videos and PDF files
[child's name]'s learning stories - this is a file containing all of the child's photos in one place
6: View the stories by clicking on "[child's name]'s learning stories". This will open the file in your browser as you would view it on the web. You can also access individual photos, videos and PDF files in the "Files" folder.
If you cannot open the Learning Stories, you may need to choose how to open it.
Right-click the file and select "Open with," then click either Google Chrome (recommended) or your preferred web browser.
