Educa Archiving - About Your Child's Portfolio

Everything you need to know about the Educa archive offer — what's included, what you'll receive, and answers to common questions.

Overview

When a child moves on from their early childhood service, their records are eventually removed from the Educa system. Before anything is permanently deleted, we provide eligible parents and caregivers with another chance to purchase and download their child’s learning stories, photos, and videos.

Archive offers are generated for eligible archived profiles a few times a year, in batches. An eligible profile is one that has been archived for more than 90 days and has enough individual learning stories to generate an archive download with content.

Parents and caregivers will be emailed when an offer is available for their child’s archived profile.

Important: Archive profiles cannot be generated individually or ahead of schedule. If you have not received an archive offer yet, you will need to wait for the next eligible archive round. Educa Support cannot create archive downloads on demand before they are available.

If you choose not to purchase, please note that once the deadline in your email has passed, the portfolio will be permanently deleted and cannot be recovered.

What you get

After payment, you will receive a link to download a ZIP file of your child’s portfolio.

This ZIP file includes the same stories and images that were shared with you while your child was attending their early childhood service.

The download includes:

  • Individual learning stories as PDF documents, which you can view digitally or print.

  • Images and videos that were uploaded as part of those learning stories, where available.

  • Separate media files, so you can save or share them with family and friends.

This is another chance to save a copy of these memories if you no longer have them, or if you would like a digital copy to keep.

Frequently asked questions

How does this compare to the stories and images I would have received while my child was in attendance at the ECE?

These will be the same learning stories and images that you received while your child was in attendance at their ECE.

Can I get a preview?

We’re unable to show you your child’s full portfolio before purchase.

However, the portfolio preview page will show a sample of some of the images included. It will also list the number of learning stories, photos, and videos in the portfolio.

Who will receive this offer?

This offer is sent to family members who were linked to a child in Educa while that child was attending their ECE, provided the child’s profile is eligible for archive.

Eligible profiles are profiles that:

  • Have been archived for more than 90 days.

  • Have enough individual learning stories to generate an archive download with content.

Archive offers are sent in batches a few times a year. You will receive an email when an offer is available for your child’s archived profile.

Can Educa generate my child’s archived profile now?

No. Archive profiles cannot be generated individually or ahead of schedule.

If your child’s archived profile is not available yet, you will need to wait until it is included in a future archive batch. Educa Support cannot create the archive download on demand.

Why are other children in my download?

The download includes only individual learning stories about your child. However, some images may also show other children.

This depends on how photos were uploaded and used by your child’s teacher while your child was attending the ECE.

I have another child who attended an ECE, can I get their portfolio too?

Archive offers are sent in stages, working through eligible archived profiles in batches. If you have more than one child, their archive offers may arrive at different times.

If you haven’t received a link after a reasonable wait, email us at archivesupport@geteduca.com and we can check for you.

In some cases, a link may not be sent if there is not enough portfolio content available to download, or if the profile is not eligible for the current archive batch.

Why are there fewer images or stories than listed in my emails?

The numbers listed in your email may include some duplicates. These are automatically filtered out when we package your download.

The final number of files in your ZIP may therefore be slightly lower than the number shown in your email.
